International Law Firm Profits From Greater Collaboration and Data Management

Business Challenge

An international law firm, with over 500 lawyers, represents clients in litigation and arbitration, regulatory, and transactional matters. The firm is internationally recognized for its representation of Fortune 500 companies in high-stakes litigation, as well as its ongoing commitment to pro bono service and diversity.

Our customer decided to incorporate Microsoft SharePoint to build a portal environment for collaboration, document management, and project management. They wanted their users to leverage SharePoint to execute legal matters as projects.

Our Solution

i3solutions was contracted to provide consulting services to install and deploy SharePoint and build a stand-alone portal environment to provide project workspaces for the collaboration, management, and monitoring of their client matters. The system provides a custom provisioning tool to automatically create project sites based on entries in their matter intake system and to provide access to appropriate corporate employees. An Enterprise Bus Utility (EBU) was developed to pull information from their back-end accounting system to synchronize planned budgets with actual expenditures.

Results

This project was a great success as it accomplish many goals that were significant to our customer:

  • Track work done on matters in SharePoint like a project
  • Integrate project sites with information coming from other critical systems. These systems include:
    • Accounting and Time Sheets – for the purpose of automatically associating actuals with the appropriate matter
    • New Matter Intake
  • Facilitation and Synchronization with Outlook
  • Incorporate 3rd party components
  • Incorporate Enterprise Business Utility, which is a job scheduling utility used to synchronize and transfer information to and from SharePoint
  • Created custom web part to allow project managers to configure site access and permissions without giving them administrative access.

i3solutions conducted a series of meeting to identify requirements to build on our best practices and information architecture that would best suit the needs of the proposal department. The new Proposal Management for SharePoint site provides the proposal department with a common, centralized place to house daily collaboration materials. The new libraries contain the proper metadata which enable it to create appropriate views to categorize, sort and filter documents. It provides the proposal department with a central repository where materials are easily found using the search capabilities integral with SharePoint. With added workflow, approval processes, alerts and reporting, the organization significantly increased it’s communications and reduced the time to push the proposal throughout the approval process. In addition, better organization of materials central to the sales and proposal process were easier to find with enhance metatag and a new information taxonomy.
